Privacy Policy
We keep this short and plain. If something is unclear, email us at hello@intellicons.co.uk and we will explain it in plain language.
1. Who we are
Intellicons Tech Ltd (Registered in England & Wales) is the data controller for all personal data collected through intellicons.co.uk and associated services.
Contact: hello@intellicons.co.uk
We are not currently required to appoint a Data Protection Officer (DPO), but you can direct all privacy enquiries to the address above.
2. What data we collect and why
2a. Contact & enquiry forms
When you fill in a contact, book-a-demo, or general enquiry form, we collect:
- Name
- Business email address
- Phone number (if provided)
- Company name and role (if provided)
- Your message and any other information you choose to share
Legal basis: Legitimate interests (Article 6(1)(f) UK GDPR) — to respond to your enquiry and, where relevant, to follow up on a potential business relationship.
Retention: We keep enquiry data for up to 12 months from the date of submission unless a commercial relationship develops, in which case we retain it for the duration of that relationship plus 6 years (standard UK contract limitation period).
2b. Careers & CV submissions
When you submit a CV or job application, we collect:
- Name and contact details
- Your CV / résumé (which may contain employment history, education, skills, and other personal data you include)
- Cover note or additional information you provide
Legal basis: Consent (Article 6(1)(a) UK GDPR). By submitting your CV you consent to us processing it for recruitment purposes.
Retention: CV data is held for up to 6 months from submission. After that it is deleted unless you have explicitly agreed to a longer period or a position opens for which we contact you. You may withdraw consent at any time by emailing us.
2c. Website usage data
Our website is statically rendered and served via Vercel (UK/EU infrastructure). We do not use Google Analytics or third-party tracking pixels. Vercel may collect standard server-access logs (IP address, browser type, pages visited, timestamps) for infrastructure and security purposes. These are held by Vercel in accordance with their Privacy Policy. We do not access individual-level access logs in the normal course of operations.
3. Cookies
We use essential cookies only — the minimum required for the website to function (session routing, security). We do not set any advertising, analytics, or preference cookies. No cookie consent banner is shown because no non-essential cookies are placed.
4. Who we share data with
We do not sell, rent, or trade your personal data to third parties. We share data only with the following sub-processors necessary to operate our services:
| Processor | Purpose | Location |
|---|---|---|
| Vercel Inc. | Website hosting & infrastructure | US/EU (UK-served via lhr1) |
| Resend Inc. | Transactional email delivery | US (SCCs in place) |
Where data is transferred outside the UK or EEA, we ensure adequate safeguards are in place — Standard Contractual Clauses (SCCs) approved by the ICO / EU Commission.
5. Your rights
Under the UK GDPR and the Data Protection Act 2018, you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate data.
- Erasure — ask us to delete your data ("right to be forgotten"), subject to legal retention obligations.
- Restriction — ask us to limit how we use your data in certain circumstances.
- Portability — receive your data in a structured, machine-readable format.
- Object — object to processing based on legitimate interests at any time.
- Withdraw consent — where processing is based on consent (e.g. CV submissions), you can withdraw at any time without affecting the lawfulness of prior processing.
To exercise any right, email hello@intellicons.co.uk. We will respond within one calendar month (extendable by a further two months for complex requests). We do not charge a fee for exercising your rights.
6. Right to complain
If you believe we have not handled your data correctly, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK supervisory authority:
Website: ico.org.uk · Helpline: 0303 123 1113
We would, however, appreciate the chance to address your concern directly before you escalate to the ICO.
7. Security
All data in transit is encrypted using TLS 1.2 or higher. Our infrastructure uses HSTS, secure headers, and access controls. We limit who within Intellicons can access personal data to those who need it. We review our security practices regularly.
8. Changes to this policy
We may update this policy from time to time. Material changes will be communicated by updating the "Last updated" date at the top and, where appropriate, by contacting you directly. Continued use of the site after changes constitutes acceptance.
